See who asked for and approved something

Find who sent a request, who approved or rejected it and when, and download an audit record as a PDF.

Plainstamp keeps a record of every request: who asked, who approved or rejected it, and when. There are a few places to look, depending on how much detail you need.

On the Approvals page#

  • All requests (owners and admins) shows the whole team's waiting requests and the most recent approved and rejected ones from the last 60 days. Each decided card says Approved by … or Rejected by …, how long ago, and Asked by ….

  • My requests (everyone else) shows what you sent, with who decided it.

On the entry itself#

Open the task, bill or transaction. Under History you'll see who requested it and who approved it, with the dates. If it was paid or reconciled, that's there too.

Download an audit PDF#

The Audit PDF button downloads one PDF with everything about an entry or request, ready for your accountant or an auditor.

  1. Do one of these:

    • On the Approvals page, click Audit PDF on a decided request (approved or rejected).

    • Or open a task, bill, transaction or vendor and click Audit PDF.

  2. The PDF downloads. Its name starts with audit- followed by the entry's name and today's date.

The PDF has these parts:

PartWhat's in it
DetailsThe entry's fields, who added it and when, and who requested and approved it
ApprovalsEach request for this entry: who asked (and how many times it was changed and sent again), every approval in order (for example gave approval 2 of 3), or who didn't approve it and their reason. If it's still waiting, who is due to decide
HistoryEverything in the activity log for it
CommentsThe conversation on the entry and on its requests
AttachmentsA list of the files. PDFs and JPG or PNG pictures are added at the end; other kinds of files, and very large ones, are only listed

Each page shows the workspace, when the PDF was made and by whom. Dates and times are in the workspace's time zone. An entry added under someone's spending limit says so under Details, and an entry an admin added directly says added it directly as an admin under Approvals.

Downloading an audit PDF is noted in the activity log.

In the activity log#

The Activity log records every step: sent, approved, rejected, changed and sent again, withdrawn, moved to another admin, taken over, and approved by a stand-in. See The activity log.
