Download a report as a spreadsheet

Save any report as a CSV file that opens in Excel, Numbers or Google Sheets, with the dates and filters you picked.

Every report on the Reports page can be saved as a spreadsheet (a CSV file). The file uses the same tab, dates, tag and department you have on screen, so set those first.

Download the report you're looking at#

  1. Open Reports and pick the tab you want.

  2. Set the dates, and a tag or department if you want one. See Read your reports.

  3. Click Download CSV at the top right.

The Download CSV button at the top of the Reports page
The Download CSV button at the top of the Reports page
  4. Open the file in Excel, Numbers or Google Sheets.

The button doesn't show until there's at least one transaction or bill in the workspace.

What's in each file#

ReportColumnsFile name ends with

By vendorVendor, Payments, Share %, Total. Every vendor is listed, not just the top 20.spending-by-vendor-<from>-to-<to>.csv
Month by monthMonth, Money in, Money out, Net, for 12 monthsmonth-by-month-to-<date>.csv
Unpaid bills agingVendor, Bills, Oldest due, Not due yet, 1–30 days, 31–60 days, 61–90 days, Over 90 days, Total, plus a Total rowunpaid-bills-aging-<today>.csv

If you picked a tag, the tag's name is added to the end of the file name, so you can tell files apart.

Money columns are in your workspace's main currency, and the column heading says which one (for example Total (USD)).

Other things you can download#

  • Every transaction or bill as a spreadsheet: the Export button on Transactions and Bills to pay (Team plan and up; owners, admins and accountants). See Export your data.

  • Everything in the workspace in one zip file, for the owner. Also in Export your data.

  • One pay run's payments, to enter at your bank: Download payment list on the Pay run page. See Pay several bills at once with a pay run.

Common questions#

The file opens with odd characters in Excel. The file is saved so Excel reads it correctly. If you see odd characters anyway, open Excel first and use Data > From Text/CSV to bring the file in.

Why does a cell start with an apostrophe? If a name or description starts with =, +, - or @, Plainstamp adds an apostrophe in front so the spreadsheet doesn't treat it as a formula. It's a safety step; the apostrophe doesn't show in the cell itself in most programs.
