Start here if you're an accountant

For outside bookkeepers and CPAs: what you can see, how to comment and download, and how to work with several client workspaces.

The Accountant role is for your client's outside bookkeeper or CPA. You can see the books, reports and files, comment, and download what you need, but you can't add or change entries. Each workspace gets free accountant seats (1 on the free Starter plan, 2 on paid plans), so you don't cost your client anything.

Join your client's workspace#

  1. Ask your client (an owner or admin) to invite you with the role Accountant (free seat).

  2. Open the link they send you and create an account, or sign in if you already have one.

  3. Click Join workspace.

Working with several clients? Join each one with the same account and switch between them from the workspace name at the top of the menu. See Switch between workspaces or add another.

What you can see#

  • Overview, including the Cash forecast and Budgets cards.

  • The boards: Tasks, Projects, Calendar, Transactions, Bills to pay, Vendors, Purchase orders and Reimbursements.

  • The Money pages: Reports, Budgets, Cash forecast and Bank feed.

  • Documents, Completed and the full Activity log, which shows who entered, approved and paid everything.

Some pages need your client to be on a particular plan. If one is locked, it says which plan includes it.

What you can do#

  • Comment on entries to ask questions. Mention someone and they get notified.

  • Download reports, and on the Team plan and up, transactions and bills as spreadsheets.

  • Save an audit PDF of any entry with its files and approvals.

What you can't do#

  • Add, edit, approve or delete entries.

  • Change settings or invite people.

If something needs fixing, leave a comment on the entry so an admin can change it.

Useful settings#

The Monthly summary email (on the 1st: money in and out, top spending and anything overdue) can go to accountants. Turn it on or off in Settings › Notifications.
