Give your accountant access
Invite your bookkeeper or CPA with the free Accountant role so they can see the books and reports without changing anything.
The Accountant role is made for your outside bookkeeper or CPA. They can see everything to do with money, comment and download reports, but they can't add, edit, approve or pay anything. Accountants are free and don't use a seat: 1 on the free Starter plan, up to 2 on Small, Team and Business.
Invite your accountant#
Click Team in the menu.
Under Invite someone, type your accountant's email in Their email (optional).
In Role, pick Accountant (free seat).
Click Create invite link, then Copy, and send them the link.
When they open it, they create an account (or sign in) and click Join workspace. If they already work with other offices on Plainstamp, they switch between workspaces from the name at the top of the menu. More detail in Invite people to your workspace.
What your accountant can do#
See the Transactions, Bills to pay, Vendors, Purchase orders and Tasks boards.
Open Reports, Budgets, Cash forecast and Bank feed (on the plans that include them), and download reports as spreadsheets. On the Team and Business plans they can also use Export on Transactions and Bills to pay to download those as spreadsheets.
See everyone's Reimbursements.
Open attached receipts and invoices on the Documents page and save any entry as an audit PDF.
Read the Activity log.
Comment on entries, for example to ask "What was this charge for?"
Get the monthly summary email on the 1st, if the workspace sends it and they keep it on. See Workspace settings.
What your accountant can't do#
Add, edit or delete transactions, bills, vendors or tasks.
Approve or reject requests.
Record payments or run a pay run.
Change settings, connections or the team.
On the Team page they see a note: "You're here as the accountant, so you can read and comment but not change entries."
Already have your accountant on another role?#
An admin can switch them: on the Team page, set their role to Accountant and click Save. This frees the seat they were using. See Change someone's role.
The 2-accountant limit#
A workspace can have 1 accountant on Starter and 2 on paid plans, counting invites that haven't been used yet. Turned-off accountants don't count. If you try one more, you'll see "All the free accountant seats on your plan are taken or invited (1 on Starter, 2 on paid plans). Cancel an unused accountant invite, or change someone's role." Cancel an unused accountant invite or change one accountant's role first. Turning a turned-off accountant back on also needs a free accountant seat.
