Why can't I tick off, edit or see a task?
Answers to the most common task questions, from greyed-out buttons to missing tasks.
Most "why can't I…" questions about tasks come down to your role, a photo or another task. Here are the usual answers.
Why won't this task tick off?#
"This task is waiting on another one. Finish that first." It's linked to a task that isn't done. Open it to see which one under Waiting on. See Make a task wait on another task.
"This task needs a photo first. Tap Done with photo." Add a photo with Done with photo. See Tasks that need a photo.
"Only the person doing this task can mark its progress." You're a worker and the task is assigned to someone else.
"You have view-only access." Accountants and view-only members can't tick off tasks.
Why is there no Edit button?#
Workers can't edit tasks, and accountants and view-only members can't either. Ask an admin to make the change, or leave a comment on the task.
Why can't I delete a task?#
Only owners, admins and the person who added the task can delete it. Workers can't delete tasks.
I added a task but it's not on the board#
If you're an employee or worker, your task went for approval. Check My requests in the menu. It appears on the board once an admin approves it. See Send a task for approval.
A task I know exists isn't showing#
Check the filters at the top of the Tasks page: click All open, set All projects, Everyone and All tags, and clear the search box.
Finished tasks are on the Completed page, not the board.
It may be in a private project you're not part of.
If you're a worker, you only see tasks assigned to you or that you asked for.
Why isn't the Project (or Department) field in the form?#
Project shows only when your workspace is on the Small plan or up and has at least one active project. Workers never see it.
Department shows only on the Business plan once an admin has set up departments.
Custom fields show only on the Team plan and up, once an admin has added fields for tasks.
What happens when an employee uses a template?#
Employees can use templates too. Like any task an employee adds, each task from the template goes to an admin for approval first, and lands on the board once it's approved (with its checklist). The admins get one notification for the whole set. Owners and admins add the tasks straight to the board. Workers, accountants and view-only members can't use templates; workers can't open the Templates page. See Task templates.
A repeating task didn't come back#
The next one is added only when you tick the current one off. If the person it's for was turned off, it can't be added; you'll be told to ask an admin. See Repeating tasks.
