Task notifications and reminders
Who gets told when a task is assigned, mentioned or due, how to choose new-task emails and phone notifications, the morning round-up, and reminder rules.
Plainstamp tells people about their tasks so you don't have to chase them.
Notifications you get automatically#
| When | Who is told | How |
|---|---|---|
| Someone gives you a task (when it's added, approved, reassigned to you, or added from a template) | The person it's for | In Notifications, by email and as a phone notification |
| Someone @mentions you in a comment | The person mentioned | In Notifications, by email and as a phone notification |
| Someone comments on a task | The person it's for, whoever added it and anyone who commented before | In Notifications |
You aren't notified about things you did yourself, like giving a task to yourself.
Phone notifications only arrive if you've turned them on. Each person chooses what they get in Settings.
Choose how you hear about new tasks#
New tasks have their own switches, so you can, for example, get them on your phone but not by email.
Click Settings, then the Notifications tab.
Under What Plainstamp tells you, turn these on or off:
Email me for every new task: an email each time someone gives you a task. It also needs Email me when something needs me on.
Phone notification for every new task: a phone or desktop notification each time. It needs Phone and desktop notifications on, and a device turned on.
Each change saves straight away. The task always shows in Notifications either way.
Your tasks for the day, every morning#
At 7am (in your workspace's time zone, which an owner or admin sets in Settings › General › Time zone) Plainstamp can tell you what's on your plate today:
Morning email: your tasks due today and anything overdue, plus approvals waiting for you and bills due. Skipped on days with nothing to report.
Morning phone notification: a short notification such as "Today in Brightside Property Services: 3 tasks, 1 overdue", with the first few task names. Tap it to open Tasks. Only sent on days you have something due or overdue.
Turn either one on or off in Settings › Notifications. See Choose which emails and notifications you get.
Your tasks in your calendar app#
Want your tasks next to your meetings? Turn on your private calendar link in Settings › Notifications and your tasks show in Google Calendar, Apple Calendar, Outlook or Samsung Calendar on their due dates. See See your tasks in your calendar.
For admins: choose for your team#
Owners and admins can set new-task emails, new-task phone notifications, the morning email and the morning phone notification for employees and workers, one person at a time or everyone at once, and lock them. See Set notifications for your team.
To see what everyone got done, owners and admins can get one email at the end of the day listing each person's finished and unfinished tasks. See Get an end-of-day report on your team.
Reminder rules#
Reminder rules send a nudge before or after a task is due, for example "1 day before a task is due, remind whoever it's for." or "When a task is 3 days overdue, remind the admins."
For tasks you can set:
When: a task is due soon, or a task is overdue, and how many days.
Who: whoever it's for, whoever added it, or the admins.
For how to set them up, see Reminder rules.
