Why is a bill still open after I paid part of it?
Part-paid bills stay on Bills to pay until the whole amount is paid. Here's how to see what's left and finish paying.
A bill only leaves Bills to pay (and moves to Completed) when it's paid in full. If you record a payment for less than what's owed, Plainstamp keeps the bill open so nobody forgets the rest.
See what's left#
On Bills to pay, a part-paid bill shows what's still owed, with "of $X" (the full amount) underneath. Click Part paid above the list to see only those bills.
Open the bill: it's marked Part paid, and Paid so far says how much has been paid and how much is still owed. The Payments list shows each payment with its date, method and who recorded it.
Totals on the Overview and Bills to pay (like Bills due in 7 days) only count what's still owed.
Pay the rest#
Open the bill and click Record a payment.
Amount paid now is filled in with what's still owed. Leave it to pay it off, or type a smaller amount to pay another part.
Fill in Paid on, Method and Check # / confirmation.
Click Mark as paid (or Record part payment if you're still paying less than what's owed).
When the last payment covers the balance, the bill moves to Completed › Paid bills.
If Also record it in Transactions is ticked, each payment also appears on Transactions, described as "Part payment of invoice #…", and the one that settles the bill as "Final payment of invoice #…".
Paid it in full but it's still open?#
The amount was typed too low. If the button said Record part payment when you saved, Plainstamp recorded less than the full amount. Record another payment for the difference.
A payment is waiting for approval. If an employee recorded it, it's not counted until an admin approves it. Check My approvals or My requests.
The bill amount is wrong. If the invoice total was entered wrongly, an admin can edit the bill.
A payment was removed. Admins can Remove a payment from the bill's Payments list, which reopens the balance. The Activity log shows who did it.
