What happens when you reach a limit or downgrade

What Plainstamp does when you run out of seats, invoice reads, file space or emails, and what changes when you move to a smaller plan.

Nothing is ever deleted because you reached a limit or moved to a smaller plan. You just can't add more of that thing until you upgrade or make room.

You can see how much you've used at the top of the Plan & billing page. The bars turn orange when you're close to a limit and red when it's full.

When your seats are full#

Each plan includes a number of people (see Plans: what each one includes). Invites that haven't been used yet count as seats too.

When every seat is taken:

  • You can't create another invite. You see "Your plan's people limit is reached (pending invites count too). Upgrade on the Plan & billing page, or cancel an unused invite."

  • You can't turn an account back on until a seat is free.

  • The Team page shows a Get more seats button that takes you to Plan & billing.

To make room, cancel invites nobody used, or turn off accounts for people who've left. Accountants don't use a seat: Starter includes 1 free accountant seat and paid plans include 2. If you move down to Starter with 2 accountants, both stay, but you can't add another.

When you run out of invoice reads#

When you attach a bill or receipt, Plainstamp can read it and fill in the details for you. Each plan includes a number of these reads a month.

When they're used up, the file still attaches. You see a note that you've used all your invoice reads for the month, and you type the vendor, amount and dates yourself. The count starts again on the 1st of the next month.

When your emails run out#

Each plan includes a number of emails a month about your workspace's work (100 on Starter, 2,500 on Small, 5,000 on Team and 10,000 on Business). You can see how many you've used in the Emails section of the Plan & billing page.

When they're used up, Plainstamp stops sending those emails until the 1st of the next month. Notifications still show on the Notifications page, phone notifications still arrive, and owners and admins get one notice in Plainstamp. Invites and sign-in emails keep working. On paid plans, the owner can tick Keep sending when the allowance runs out so emails never stop. See How many emails your plan includes.

When your file space is full#

When your file space is full, new files won't upload. You see "Your plan's file space is full. Upgrade on the Plan & billing page, or remove old files." Everything already saved stays where it is.

When you move to a smaller plan#

  • Your data stays. Every task, bill, transaction, file and approval is kept.

  • Features above your plan are locked. Pages for those features show a note saying which plan they come with, for example "Bank feed comes with the Team plan and up." Upgrade again and they're back as they were.

  • People: you can't move to a smaller paid plan while you have more people than it includes. Turn some accounts off on the Team page first. See Choose or change your plan.

  • Going back to Starter happens when a paid plan is cancelled and its paid time runs out. If you have more people than Starter includes, they keep their access, but you can't invite anyone or turn an account back on until you're under the limit.
